Role Mission

At Ultimate Jet Vacations, marketing is more than launching campaigns-it's about building scalable systems that drive measurable business growth.

We're looking for a Marketing Operations Specialist who will serve as the operational and analytical partner to our Head of Marketing. This role is responsible for turning strategy into execution by creating structure, improving processes, ensuring every campaign is measurable, and providing the insights needed to make smarter marketing decisions.

Responsibilities

Strategic Partnership
Partner directly with the Head of Marketing to transform strategic initiatives into clear execution plans.
Develop campaign briefs, launch documentation, and marketing roadmaps.
Support annual and quarterly planning initiatives.
Conduct market and competitive research to support strategic decision-making.
Prepare executive presentations, reporting packages, and business recommendations.
Continuously identify opportunities to improve operational efficiency and marketing performance.
Campaign Planning & Operations
Own campaign planning from concept through launch readiness.
Develop campaign briefs, timelines, and success metrics.
Coordinate cross-functional campaign execution across multiple teams.
Maintain marketing calendars and planning documentation.
Ensure campaigns are fully prepared before execution begins.
Marketing Analytics & Reporting
Build and maintain marketing dashboards in Tableau.
Monitor campaign performance and marketing KPIs.
Develop executive reporting that clearly communicates business performance.
Analyze trends, identify opportunities, and recommend improvements based on data.
Present insights that help leadership make informed business decisions.
Marketing Attribution & Measurement
Own campaign tracking standards and attribution processes.
Maintain UTM governance across all marketing initiatives.
Measure marketing influence throughout the customer journey.
Evaluate campaign effectiveness and recommend optimization strategies based on performance.
Marketing Systems
Support campaign setup and reporting within HubSpot.
Maintain marketing reporting infrastructure and dashboard accuracy.
Perform quality assurance before campaign launches.
Troubleshoot system issues and recommend improvements to marketing technology and workflows.
Co-Op Marketing Operations
Manage operational execution of the co-op marketing program.
Build and maintain partner calendars and deliverables.
Track partner commitments and fulfillment.
Coordinate execution across internal stakeholders.
Create partner reporting and performance recaps.
Identify opportunities to improve both partner experience and program performance.
Process Improvement & Innovation
Build and maintain marketing SOPs and documentation.
Standardize planning, reporting, and campaign processes.
Improve departmental workflows through automation and scalable systems.
Leverage AI tools to streamline reporting, campaign planning, documentation, and operational efficiency.
Continuously research emerging technologies and recommend innovative solutions that improve how the marketing team operates.

Qualifications

3-5 years of experience in Marketing Operations, Marketing Analytics, Campaign Management, or a similar cross-functional marketing role.
Bachelor's degree in Marketing, Communications, Business, or a related field (or equivalent practical experience).
Advanced HubSpot experience, including campaigns, reporting, dashboards, campaign objects, and marketing analytics.
Experience building reports and dashboards using Tableau or a similar business intelligence platform.
Strong understanding of Google Analytics 4, marketing attribution, and UTM tracking.
Experience developing campaign briefs and managing cross-functional marketing initiatives.
Advanced Excel and/or Google Sheets proficiency.
Experience with Asana or similar project management software.
Strong analytical skills with the ability to transform marketing data into actionable business recommendations.
Excellent written and verbal communication skills.
Comfortable leveraging AI tools such as ChatGPT, Claude, Gemini, or similar technologies to improve productivity and workflows.
Full professional proficiency in English, both written and verbal.

Bonus Points

Experience in luxury travel, hospitality, or tourism.
Experience with marketing automation platforms beyond HubSpot.
Familiarity with SQL or business intelligence concepts.
Experience designing operational processes for growing marketing teams.
Experience implementing AI-powered workflows or automation solutions.
